THE OTTER- AFRICAN TRAIL RUN presented by Hi-Tec 2011

The first 280 places (out of 300) for the Otter Run and Otter Ramble 2011 have been sold out. We are finalising additional sponsor reserved entries and the balance of places will be made available to persons on the Waiting List from 12h00 on the 1st of April 2011. Thereafter entries that become available will be offered to persons drawn from the waiting list in a monthly Lottery. Persons listed on the Priority List who were not able to secure an entry have been transferred onto the Waiting List.

ENTRY PROCEDURE AND ONLINE ENTRY SCHEDULE

In 2011;

  • The Otter Run  (8 hour Cut-Off)
    •   29th & 30th September 2011
    • R2650.00 (Basic Race Package)
  • The Otter Ramble (11 Hour Cut-Off)
    •  1st & 2nd October 2011
    • R2350.00 (Basic Race Package)

A total of 150 entries are presented for each of the Otter Events 2011. Of these entries, 130 are obtainable for each event online and allocated as indicated below and opened for entry according to the schedule and procedure given. (Note that an allocation of 40 entries are reserved for overseas participants, SANParks, event organiser and event sponsor invited athletes)

  • PHASE 1; PAST PARTICIPANTS ENTRIES 
    • On the Monday 21 February from 12h00 the first online entries will be opened for both the Otter Run and Otter Ramble to 2010 Otter Run participants.


  • PHASE 2; PRIORITY LIST ENTRIES
    • On Thursday 24 February 2010 from 12h00 300 minus the total number of entries from PHASE 1 x online entries will be opened to persons registered on the “priority list” first come basis.
    • A minimum of 30 places will be made available to the Priority List.
    • Note that persons registered on the “priority list” that are unsuccessful in entering in during Phase 2 &3 will automatically be placed on the “waiting list.”
      • Persons listed on the waiting list will be entered into a monthly lottery for places should any become available. Winners will be contacted and given the opportunity to enter failing which another name will be drawn.


  • PHASE 3 PUBLIC ENTRIES (if available)
    • On Monday 28 February: 300 minus the total number of entries from PHASES 1&2 x online entries (if any available) will be opened to public on a first come first serve basis.
    • Persons not successful in entering during Phase 3 should register on the “waiting list” for of Phase 4


  • PHASE 4 WAITING LIST ENTRIES
  • From 1st April 12h00 until the date of the event as and if places become available, persons listed on the waiting list will be entered into a monthly lottery for these places. Winners will be contacted and given the opportunity to enter failing which another name will be drawn.

Otter-Waiting List


PRIORITY LIST

The priority lists for the Southern Storm or Otter Run is for persons wishing to increase their chances of obtaining an entry for these events by registering on these lists and thereby being afforded the opportunity to enter 3 days before online entries open to the public. Registration on the Priority List costs R50 which will be donated to the event nominated charity . Registration on the priority list only affords persons registered on the list the opportunity to enter before online entries are opened to the public and is no guarantee of obtaining an entry. Priority List entries done online and are treated on a first come basis. Persons registered on the priority list that are not successful in obtaining an online entry will automatically be transferred onto the Waiting list and entered into the monthly draw for places that may become available.


WAITING LIST

Persons unsuccessful in obtaining and entry online may register on the waiting list. Registration on the Waiting List costs R50 which will be donated to event nominated charity .Persons listed on the waiting list will be entered into a monthly draw for any places that may become available. Winners of the draw will be contacted and be given 48 hours to enter. Failure to enter within 48 hours will lead to removal from the list.


PAYMENT OPTIONS AND REFUND POLICY

  • Full payment is required on entry.
  • 85% of entry fee paid will be refunded if an entry is cancelled in writing on or before the 1 May 2010.
  • After the 1st of June 85% of refunded entry will be paid only if we are able to replace and entry with one from the waiting list.
  • Substitution. A R400 substitution fee is applicable should you wish to transferee your entry to another person and garment size changes will only be made should stock be available.
  • Change from Otter Ramble to Otter Run: cost difference of R 300 + R 100 admin fee. (if places available)
  • Change from Otter Run to Otter Ramble: R 200 will be reimbursed (R 100 admin fee). (if places availble).


RULES TO BE IMPLEMENTED GOVERNING ENTRY AND PARTICIPATION IN THE OTTER

  1. 1.       THE MAXIMUM PARTICIPATION RULE

A RULE TO BE IMPLEMENTED GOVERNING THE MAXIMUM NUMBER OF TIMES A PARTICIPANT MAY ENTER THE OTTER

Due to the high demand for places on The Otter and the limited number of places available, the need has arisen for the Event Organisers to cater fairly to all aspirant participants, giving every trail runner an equal opportunity to participate in this sought after event. Participants will thus only be guaranteed entry for a maximum of 3 consecutive events after which they will be required to enter during Phase 4 of the entry process.

  1. 2.       THE QUALIFYING RULE (effective as of 2011)

A RULE TO BE IMPLEMENTED IN THE FUTURE REQUIRING ASPIRANT PARTICIPANTS TO COMPLETE A QUALIFYING EVENT BEFORE BEING ELIGIBLE TO ENTER THE OTTER

Due to the high demand for places on The Otter and the limited number of places available in the field, the need has arisen for the Event Organisers to cater fairly to all aspirant participants giving every trail runner an equal opportunity to participate in this sought after event. Participants may thus be required to complete a qualifying event before being afforded the opportunity to enter in Phase 2 of the entry process.  In future events this may be the only way phase 2 may be conducted on a lottery basis.
